Schengen visa documents from India: what each item on the checklist is really for

Consulates do not tick documents off a list. They test four questions. Give each question a strong answer and the list takes care of itself.

The four heads in Article 14(1)

Head Text of the Regulation What answers it
(a) Purpose "documents indicating the purpose of the journey" Itinerary, flight reservation, invitation (family, business, event), conference registration, tour booking, cover letter that ties them together
(b) Accommodation "documents in relation to accommodation, or proof of sufficient means to cover his accommodation" Hotel bookings covering every night, or a host's invitation with proof of address and, where the state uses one, its official sponsorship form
(c) Means "documents indicating that the applicant possesses sufficient means of subsistence both for the duration of the intended stay and for the return... or that he is in a position to acquire such means lawfully" Bank statements over months, salary slips, income-tax returns, fixed deposits; for sponsored trips, the sponsor's statements and a sponsorship declaration
(d) Intention to leave "information enabling an assessment of the applicant's intention to leave the territory of the Member States before the expiry of the visa applied for" Employer letter with approved leave, business registration, property papers, family in India, school enrolment of children, prior visas with clean returns

Plus the mandatory items outside Article 14: application form (Article 11), passport per Article 12, photograph, biometrics (Article 13), insurance (Article 15), fee (Article 16).

How to read a state's checklist

Every Schengen consulate in India publishes a checklist for each purpose (tourism, business, visiting family or friends). Those lists are Article 14 made concrete for that state; a "harmonised list of supporting documents" for India, adopted under Article 14(5a) through local Schengen cooperation, is why the checklists across states look similar. Two consequences:

  • Do not submit a document because a forum said so if it does not answer one of the four heads better than what you already have; volume is not strength.
  • Do submit the specific form a state names (for example a host's sponsorship declaration in that state's own format), because a substitute answers head (b) less well.

The single most common mistake

Documents that individually pass and collectively contradict: a cover letter for ten days, hotels for seven, a return flight after twelve, a leave letter for eight. Grounds 2, 10 and 11 on the refusal form live in those gaps. Build the itinerary first, then make every document agree with it.

FAQ

Do I need confirmed flight tickets for a Schengen visa?

Article 14(1)(a) asks for documents indicating the purpose of the journey; a reservation normally suffices and most consulates advise against buying non-refundable tickets before the decision. Follow the state's checklist wording.

How many months of bank statements do consulates want?

The Regulation does not specify a number; state checklists in India typically ask for the last three to six months. The point is to show the account that funds your life over time, not a balance on one day.

Is a cover letter mandatory?

It is not named in the Visa Code, but it is the document that ties heads (a) to (d) together and most checklists in India ask for it. See the cover-letter guide.
